Food Machinery Quotation Checklist for Production Lines

A useful food machinery quotation is more than a price and a list of motors. It should define what the line must produce, how capacity will be measured, which machines and interfaces are included, what the factory must provide, and how the result will be tested before shipment. When these points are missing, two quotations that look similar may describe very different equipment boundaries.

This checklist is written for factory owners, project managers and purchasing teams comparing an extrusion, drying, seasoning or packaging project. It helps you prepare one technical brief that every supplier can answer on the same basis.

Start With a Quotation Basis, Not a Machine Name

A request such as “send the price of a 300 kg/h machine” is not enough for a complete production line. The supplier still needs to understand the finished product, formula category, stable operating target, downstream process and factory conditions. The first goal is therefore to create a quotation basis: a short document that defines what must be included and what can remain optional.

Ask every supplier to identify assumptions, exclusions and buyer-supplied items. This makes the quotation easier to compare and reduces changes after the order.

1. Define the Finished Product and Quality Target

Begin with what the factory intends to sell. Provide product photos, market samples or a short video when possible. State the product family, dimensions, shape, bulk density or texture target, final moisture expectation, seasoning or coating requirement and retail package format. A supplier cannot select dies, cutters, dryers and handling equipment responsibly from the raw-material name alone.

For puffed snacks, compare the puffed snack manufacturing process before selecting equipment. For pet food or aquatic feed, define kibble or pellet diameter, density, floating behaviour, coating and water-stability requirements.

2. Share the Raw-Material and Formula Category

You do not need to disclose confidential percentages in an initial inquiry, but the supplier needs enough information to judge process suitability. Identify the main flours, starch sources, protein and fibre ingredients, oil or liquid additions, initial moisture, particle-size range and any heat-sensitive components. If a new material has not been tested, request a trial plan instead of accepting an unsupported output promise.

For drying projects, specify material form, piece dimensions, initial and target moisture, loading depth, product temperature limit and whether the purpose is drying, heating, sterilisation or another process outcome.

3. Define Capacity on a Measurable Basis

Capacity is one of the most common causes of quotation disputes. The same number can refer to dry ingredients entering the mixer, wet material entering the extruder, product leaving the main machine, dried product or finished bags. Ask the supplier to state exactly where and how output is measured.

4. Define the Equipment Boundary and Interfaces

Ask for a line-scope table rather than relying on a general statement such as “complete line.” A complete line for one supplier may stop at the dryer, while another quotation may include cooling, seasoning, metal detection, weighing and packing.

For each item, request model, quantity, main function, installed power, food-contact material, dimensions and whether supporting platforms, conveyors and controls are included.

5. Confirm Factory Layout and Utilities

Provide a drawing or a measured sketch showing workshop length, width, clear height, columns, doors, floor levels and existing equipment. Confirm destination voltage, frequency and phases. The supplier also needs to know the available electrical load, natural gas, steam, water, compressed air, drainage and exhaust conditions.

Ask for a preliminary layout and utility list before the equipment design is frozen. The quotation should state which cables, pipes, ducts, foundations, lifting equipment and site connections are supplied by the buyer.

6. Specify Materials, Hygiene and Compliance Requirements

“Stainless steel machine” is not a complete material specification. Confirm which food-contact surfaces, frames, covers, fasteners, tanks and conveyors require a particular grade. Ask how food-contact sections can be opened, inspected and cleaned, and whether there are inaccessible product traps.

If your market or factory requires particular electrical components, guarding, documentation, language, certification or hygienic design features, list them before the final quotation. Do not assume that a standard configuration automatically meets every local requirement.

7. Define Automation and Packaging Early

Automation should be linked to the operating method, staffing and product-change plan. Clarify whether ingredients are manually batched, how recipes are changed, which process values must be displayed or recorded, and whether downstream machines need a shared start/stop or interlock strategy.

For packaging, provide the bag style, target net weight, product bulk density, film specification, required bags per minute, coding method and number of flavours. A light, fragile corn puff behaves differently from dense pellets or powder. Review the automatic food packaging machine options only after the finished product and bag have been defined.

8. Include Installation, Commissioning, Training and Acceptance

A quotation should separate equipment price from freight, installation supervision, commissioning, operator training and travel costs. Confirm who prepares the factory, supplies raw materials for trials, connects utilities and provides local labour or lifting equipment.

Agree the factory acceptance test before manufacturing is completed. The protocol should define the representative product, stable running period, capacity measurement point, product-quality checks, safety checks, documents and treatment of unresolved items. 9. Compare Commercial Terms on the Same Scope

The lowest equipment price is not automatically the lowest project cost. Normalise every quotation before comparing totals.

Ask suppliers to issue revisions against the same technical brief. Otherwise, a cheaper offer may simply exclude equipment or services included elsewhere.

10. State the Project Stage and Decision Schedule

Tell the supplier whether the project is concept evaluation, budget approval, factory planning or purchase-ready. A concept-stage estimate can use ranges and assumptions; a purchase-ready proposal needs confirmed samples, layout, utilities, line scope and acceptance basis. A realistic decision schedule helps both sides spend engineering time at the right level.

A budget range is useful when several process routes are possible, but it should not replace the technical requirements. If the budget and target output are not compatible, ask the supplier to show staged options rather than removing essential process sections without explanation.

Frequently Asked Questions

Do I need to disclose my complete formula?

No. An initial quotation can usually begin with ingredient categories, approximate moisture, major process-sensitive components and the target product. A detailed formula may be needed later for trials and final process confirmation under the appropriate confidentiality arrangement.

Why are two quotations for the same capacity very different?

The suppliers may be using different capacity definitions, equipment boundaries, materials, dryer sizes, automation levels or commercial terms. Compare saleable output, included machines, utilities, acceptance method and exclusions before comparing price.

Should packaging be included in the first quotation?

At least define the packaging interface early. Even when the packing machine is purchased separately, the product temperature, bulk density, bag weight and required speed affect cooling, buffering and discharge conveying.

What information is most important for a fast first proposal?

Send the finished product, raw-material category, target saleable output, factory voltage, available space, heat source, destination and packaging plan. Photos and samples reduce ambiguity.

Is the quotation the final technical agreement?

No. The quotation is a commercial and technical proposal based on stated assumptions. The final contract, approved layout, equipment list, specifications and acceptance documents should resolve changes before manufacturing.
